Evida ONE — mobile app
Support
Evida ONE records your meetings and turns them into transcripts, minutes, decisions and action items. If something is not behaving, start here — and if the answer is not on this page, write to us at support@evida360.com and we will get back to you.
Getting access
Evida ONE is used by organizations, and there is no sign-up inside the app. Your account and your workspace are created by the company that licenses Evida. There are two ways in:
- Credentials from your organization
- Sign in with the username and password you were given.
- An invitation code
- If your workspace owner invited you by email, tap I have an invite code on the sign-in screen and enter the code from that email.
If you do not have either, ask whoever manages Evida in your organization. We cannot create an account for you without them.
Signing in
- Forgotten password
- Tap Forgot password? on the sign-in screen. A code is emailed to the address on your account; enter it and choose a new password. If no email arrives, check the spam folder first, then confirm with your workspace owner which address your account uses.
- Staying signed in
- Tick Remember me when you sign in and the app keeps your session on that device. Leaving it unticked means signing in again next time.
Recording a meeting
Tap the microphone, add the people in the room, and record. Every meeting opens with a spoken announcement that it is being recorded, so everyone present hears it.
You do not need a connection while recording. Audio is written to the device as you go and uploaded afterwards. If the network drops, the recording waits in a queue and uploads itself when you are back online — leave the app installed and signed in until it does.
- An upload that will not finish
- Usually a network that never comes back, or a workspace that has run out of its plan's meeting time. Open the meeting in the list to see its state; if it stays stuck with a connection available, send us the meeting title and roughly when it was recorded.
Transcripts and minutes
Processing starts after the upload finishes and the meeting shows its progress while it runs. A long meeting takes longer; the list keeps working while it does.
- Names instead of "Speaker 2"
- The app separates speakers by voice from the start. Putting a name to a voice once teaches it that person, so later meetings recognise them without being told again.
- Something in the minutes is wrong
- The organizer can edit any part of them — reword a decision, reassign an action, remove a line — before sending them out. If the whole result looks wrong, the organizer can have the meeting processed again from the recording; this replaces the transcript and minutes, including edits made to them.
- Sharing
- Finished minutes can be copied, printed, or emailed to the people who attended. The original audio can be downloaded from the meeting screen.
Workspaces and teammates
Meetings belong to a workspace, not to a person. Workspace owners invite teammates, give them a role, and remove them when they leave. Owners see every meeting in the workspace; everyone else sees the meetings they organized or attended.
Each workspace is on a plan with limits on members, meeting hours and processing. If you hit one, the app says so — the fix is a plan change, which your workspace owner arranges with us.
Storage on your device
Meeting audio you play is kept on the device so it does not download twice. Settings → Meeting audio storage shows how much space that uses and clears it. Clearing it never removes anything from the server.
Privacy and deleting data
What the app records, where it goes and how long it is kept is set out in the Evida ONE privacy policy.
There is no delete button in the app. To have a recording, a meeting or a whole workspace removed, write to us at support@evida360.com — from the workspace owner where possible, since they decide what is recorded. If you are asking about your own data and would rather not go through them, write to us directly.
